Fix the Asset Hunt Before Buying a DAM

A digital asset management platform cannot fix a company that has not decided which asset is current, who may approve it, how derivatives are named or when old material must disappear. The software can centralize the confusion and make it easier to distribute.

The Asset Operating Model

• Asset class: logo, campaign master, product image, video, document, template or derivative.
• System of record: the one location where the approved master lives.
• Owner: the role responsible for accuracy and lifecycle decisions.
• Status: draft, review, approved, restricted, expired or archived.
• Metadata: fields required for search, rights, market, language, product and campaign.
• Derivative rule: how crops, translations, versions and channel exports relate to the master.
• Access rule: who may view, download, edit, share or approve.
• Expiry rule: the date, event or policy that removes an asset from active use.

The DAM Readiness Contract

1. Choose the highest-cost asset hunt or misuse problem.
2. Define the asset classes involved.
3. Select one approved master and one naming convention.
4. Assign owners and approval states.
5. Clean duplicates, expired files and unclear rights.
6. Test retrieval using real staff questions.
7. Test a full create-review-distribute-retire cycle.
8. Buy or configure technology only after the operating model survives the test.

What the platform should enforce

• One visible approved version.
• Searchable metadata that reflects how the team works.
• Permissions aligned with risk and responsibility.
• Traceable derivatives and language versions.
• Review, expiry and archive workflows.
• Receipts showing who changed or approved the asset.

What the platform cannot decide

A DAM cannot decide whether the business owns an image, which logo variation is correct, what evidence supports a claim or who approves a translated campaign. Those are operating decisions that must exist before configuration.
